Candidate ATS workflows
A workflow defines your hiring process and how a candidate moves through the various steps. You can create different workflows for different purposes, but for now all new candidates come in to your "Default workflow."
Workflows are managed by clicking on "Candidates" and then "Workflows" in the left menu.
Customizing workflows
Click on "Default workflow" (or any other workflow you create) to edit its details. You can create alternative workflows with the "Create Workflow" button; for instance, maybe junior level hires go through a simpler sequence than senior roles.
Workflow stages
Every workflow has a series of stages that fall into these ordered statuses:
Intake
Candidates have come into your system, but you haven't processed them yet.
Evaluation
This is where you are skimming, evaluating, interviewing, and otherwise assessing if candidates meet your needs. This is likely the status where you'll have the most stages.
Offer
You've decided to hire this person and you are working on finalizing the deal. Maybe you are still in negotiations with the candidate, maybe you are waiting on HR to finalize a package, or maybe you've sent the offer and you're waiting to hear back.
Accepted
The candidate has accepted your offer and they've officially made it through the hiring process.
Declined
Either you or the candidate have decided that it is not a right fit.
Customizing stages
Click "Edit" next to any stage and you'll be able to change the name of a stage and its internal description.
For stages other than "Intake" stages, you can set up an email to be sent to candidates when they arrive here.
Change the "Next stage" and "Decline stage" values to set up quick transitions when viewing candidates in this workflow. You'll always be able to move candidates to any stage you like, but these defaults will be shortcuts for you and your team.
To delete a stage, click the "Delete Stage" link as shown above at the bottom left. If candidates are in this stage, you'll be prompted to choose another stage to move them to.
Creating new stages
Beneath each grouping of stages you can click "Add Stage." This gives your team a way to map out your hiring process.
Stage rules
Every workflow must have at least one Intake, Accepted, and Declined stage. Everything else is up to you!
